Huston Recruitment Group (HRG) is committed to protecting the privacy of the individual and security of individuals Personal Information by abiding by the laws and Privacy Provisions established by the Privacy Act 1988 and its amendments.
Type of Personal Information Collected and Held.
Personal information on candidates is collected in the following ways:
- CV's submitted to "HRG" by candidates as applications for an advertised position.
- CV's submitted to "HRG" unsolicited.
- Personal information obtained / gained from referees (in most cases supplied to "HRG" by the candidate in their CV.) Workplace accidents information supplied by the Individual .
- Relevant Tax Information.
- Staff information submitted regarding absences from work.
Purpose for which HRG Hold Personal Information.
Ann Huston Personnel is an employment agency and other than maintaining information on its own Staff for the purpose of Staff Management, "HRG" as such is in the business of holding personal information on individuals / candidates solely for the purpose of obtaining work / employment for them. We do not collect personal or sensitive information unless it is necessary for the performance of our tasks or functions.
Use & Disclosure of Personal Information
Personal Information is held and used for the sole purpose of procuring employment for the individual; it is disclosure to the client only and to no other
- In the case of an application in answer to an advertised position, it may be disclosed to the Employer
- In the case of an unsolicited CV, the Individual's approval is obtained prior to his CV being passed on / disclosed to a potential Employer.
In presenting candidates we prepare private and confidential reports for potential employers, containing discussion of suitability. These reports form part of the employment record where a candidate is appointed. "HRG" requires that all Personal Information held on unsuccessful candidates be destroyed by our client ASAP.
Exceptions:
We will disclose Personal Information where we have a legal duty or where we are under a lawful duty of care to do so eg: All relevant Tax information is sent to the ATO. Relevant Wage information can be sent to Centrelink upon demand.
Data Security
- Your Personal Information is gathered by "HRG" for its own use it is held in/on "HRG's" own Database with only "HRG" personnel having excess to it. Exception:- where external IT Company/Personnel are repairing/redesigning the database
- "HRG" can/does receive and transmit Personal Information (CV's and reference data) over the internet.
- Data transmission over the Internet cannot be guaranteed as totally secure and therefore "HRG" cannot ensure or warrant the total security of any Personal Information transmitted.
If you do not give us the information we seek
- "HRG" may be limited in our ability to locate suitable work for you.
- "HRG" may be limited in our ability to place you in work.
Access & Correction
Subject to some exceptions that are set out in the National Privacy Principles, you can gain access to the Personal Information that we hold about you.
We do refuse access if it would interfere with the privacy rights of other persons or if it breaches any confidentiality that attaches to that information.
If you wish to obtain access to your Personal Information "HRG" will endeavour to do this immediately but cannot guarantee this will always be possible. A moderate charge will be imposed for providing this service.
At any time you may request that your Personal Information be deleted from our Databank, this would be done ASAP
Note:- Relevant information such as time sheets, payroll records and Tax information for casuals who have worked thru "HRG" will not be deleted.
